The Office of Privacy, Records & Data Sharing offers assistance with the strategic management of data/information. As such, we manage inbound and outbound data, with the goal of ensuring the right amount of data gets to the right people during the data lifecycle.
We've got a great opportunity for an Assistant Records Officer (FRA3) to join our team! This position provides guidance to the agency, ensuring the proper disclosure and retention of records obtained by the department. The Assistant Records Officer is essential in the timely processing of public records requests, making sure we stay within established guidelines and all records are properly inventoried and safeguarded.

Duties

In this role, you will review incoming public records requests and subpoenas for agency records and information. Your attention to detail and knowledge of legal requirements will be relied upon as you interpret and apply law and regulation to determine whether or not to release records. You will prepare Commissioner’s Records for Petition for Judicial Review by assembling, redacting, and certifying relevant records on behalf of the agency for judicial hearing.

Some of what you will do:

  • Utilize agency programs and systems to locate, retrieve, and provide copies of unemployment program records
  • Respond to ESD staff and external inquiries; explain what records are available and the proper procedures to obtain records in compliance with laws and regulations.
  • Prepare specific and form letter responses stating what records were provided or not, citing appropriate statute and brief explanation if request denied.
  • Coordinate transcription of the unemployment appeal recording.
  • Certify accurate and official record of the agency to all interested parties.

Qualifications

Required Qualifications:
Two (2) years of experience in forms and/or records management.
AND
A Bachelor’s degree.

Or A combination of relevant education and/or experience equivalent to six (6) years.


Education to Experience Equivalences: Associate Degree = 2 years | Bachelor Degree = 4 years | Masters or Higher = 5 years
