About the role:
The Assistant Property Manager is responsible for all administrative duties and provides support to the site staff. This position ensures that all work being carried out on site, whether it be by staff or venders, is carried out as per the company’s policies and procedures and any applicable local, state or federal laws. This is a full time position requiring weekend hours.
Job Description:
The essential functions include, but are not limited to the following:
- Successfully complete all training provided by the company with regards to accounting, fair housing, marketing, leasing, customer service, etc.
- Manages rent collections, delinquencies and evictions.
- Manages all incoming invoices and prepares them for Signatures / delivery to Head Office.
- Become the Key contact / point person for Customer Service for the Residents.
- Tracks resident work orders and reports to supervisor on a monthly basis.
- Updates all internet marketing websites used to promote business as directed by Supervisor.
- Orders office supplies in a timely manner and ensures that supplies do not ever become depleted.
- Ensures that office is always clean and that all work stations and filling areas are being kept organized as per company policy.
- Create and deliver any general notices to the residents as directed by Manager.
- Create, print and distribute any reports required by the office or maintenance staff.
- Create and produce any forms, notices, marketing collaterals as directed by Manager.
- Create and deliver notices to vendors as directed by Manager.
- Supports leasing staff by performing any and all duties of a Leasing Consultant on an as needed basis.
- Promotes and participates in Company sponsored training programs.
- Help plan and host monthly resident functions as directed by Manager.
- Complies with Company’s policies and procedures, safety rules and regulations, and all applicable local, state and federal laws.
- Carry out any other duties related to this position for the benefit of the property.
- Ensure that the property office is organized and runs smoothly as per company policies and procedures in the absence of the Manager.
- Responsible for completion of all daily, weekly and monthly financial and leasing reports.
- Responsible for validation of all input including prospect, traffic, applications, leases, move-outs, deposits and closing reports.
- Prepare and carry out legal process including but not limited to 5 days, evictions, collections, and balanced owed letters.
- Carry out and administer A/P duties including but not limited to an active purchase order system, coding invoices, and submitting them to the Head Office within the mandated time frame.
- Maintain and create monthly A/R duties including but not limited to “Pre Month End” and “Accounting Month End” reports
