Assistant Manager

This position serves as the main management support to the Plasma Center Manager. This includes oversight of the operations of the Center and staff, by indirectly supervising and motivating employees; observation of Center operations and correction of any areas of concern; preparing and reporting weekly shipments; managing and preparing records and reports.

  • Assist Center Manager in overseeing, counseling and motivating the staff, by planning staffing levels, directing, coordinating and controlling the daily operations of the Center to meet goals. Assist in identifying mentoring and developing center staff for potential BPC, Inc. job opportunities.
  • Verbally communicate with staff and customers the goals, policies, regulations, and programs of the Center.
  • Maintain confidentiality of all materials and issues
  • Monitor all functions daily while working with the Quality Department to ensure compliance to regulations; perform quality control checks daily; may perform or assist in the quarterly (or as needed) operations audit to ensure Center is compliance oriented.
  • If capable, may be asked at times, to purchase needed center materials or food on a personal credit card and providing receipts to be expensed.
  • Report daily, weekly, bi-weekly, monthly and quarterly required written information to BPC, Inc.to corporate offices regarding analysis of Center operations.
  • Provide support in the preparation of the budget such as by projecting production figures and expenses. Assist Center Manager in controlling operations to the budget.
  • Research information and data requests made by Regional Manager or BPC, Inc. corporate offices.
  • Instruct staff regarding Standard Operating Procedure (SOP) changes.
  • Maintain currency and follow SOPS at all times. Serve as a role model to center staff regarding compliance with SOPs.
  • Other Specific Duties will vary by Center location, but could include such functions as:
  • Oversee all Specialty programs at home center as assigned by the Center Operations manager. Coordinate with Sr Specialty Program Manager as needed to manage screening and hyper immune specialty programs
  • Utilize applicable computer systems for donor and plasma unit management and sample processing systems e.g. rapid entry, packing lists, labeling, sample mailings, plasma shipments, UTRFL’s and management of Unsuitable Units, Re-classing Donors and Units. Must maintain the security of pre-paid cards per Center protocol, i.e. pay donor. Review donor record files for accuracy and completeness, e.g. donor record file, applicable DMS forms (registration, pay donor, complete worksheet etc.)
  • Order supplies, provide for supplies in any emergency situation. Oversee inventory and control or reduce over usage. Maintain inventories and records.
  • Recruit donors and develop retention incentives. Formulate and implement creative ideas to enlarge donor base. Participate as needed in External Donor (Customer) recruitment activities. Adhere to customer service principals and focus on methods to maximize recruitment and retention.
  • Inspect facility daily to ensure that the interior and exterior is in good condition and clean.
  • Assist with any and all emergency procedures to include appropriate documentation and contact with corporate office when necessary.
  • Arrange for education sessions for staff on various topics, such as CPR.
  • Work in the areas of phlebotomy, medical reception, or processing as needed.
  • Pick up supplies from a vendor or another Center as needed.

Education Requirements: Two years of college level course work in business administration, or biological sciences highly preferred. Some educational background in the field of hematology preferred but not required. Appropriate training while serving with the U.S. Armed Forces can offset the educational requirements.

Experience Requirements : Six months to one year in one of the areas of a Center. One to two years of front line

supervisory experience, office work required (may be substituted with outside experience). Successful completion of the BPC, Inc. Manager Trainee program is preferred.

Other Essential Knowledge: Certification as phlebotomist, medical receptionist, and/or centrifuge/processing technician encouraged. Must be customer service oriented, with supervisory skills, some accounting and budgeting knowledge. Able to analyze production and budget numbers and project trends and results. Able to read and understand complex regulations and procedures and be able to instruct and communicate them to staff. Able to supervise and delegate indirectly. Utilize standard office equipment such as calculator, facsimile, telephone, typewriter, and computer. Basic knowledge of word processing and spreadsheets is useful. Utilize basic mathematics with decimals and percentages. May be responsible for cash control journal, cash disbursement journal, and petty cash fund for donor fees. Prepares various management reports and reviews and quality checks logs and reports. May prepare or assist in preparation of Plasma Center Quality Assurance Audit.

Contacts: Internal: Plasma Center staff, BPC, Inc. corporate and regulatory personnel, purchasing, regional manager, product management staff, other Plasma Center staff. External: Vendors, local businesses, community groups, customers, and leasing company staff.

Direct Work of Others : Will vary by Center. Some Assistant Managers will have no direct supervisory responsibility, but significant indirect responsibility over all Center employees and direct responsibility in the absence of the Center Manager. Some Assistant Managers may have directly reporting to them: maintenance staff, guards, administrative assistant, or operating supervisor.

Decision Making: Under indirect supervision, perform duties according to own judgment. Supervisory assistance is requested when necessary. Assignments may be reviewed when done, but not usually. Decisions are controlled by SOPs, existing policies and procedures. Use judgment especially regarding employee relations issues or contact HR department for guidance.

Working Conditions: Physical: Sit and perform office functions, use telephone up to 25% of time. walks about, observes, and speaks with Center staff and donors. May also be required to lift and carry boxes weighing 50 lbs. when working on shipments. Some pushing, pulling and climbing involved with shipments, freezers, inventory storage. Finger dexterity required for office equipment. Hazards: Exposed to sudden temperature changes in working with freezers, odors from chemicals, some noise level when the Center is operating at a peak level. Will be required to handle reactive plasma bottles (UN3373) or ship units. No overnight travel required, generally. Will need to attend before or after work meetings approximately 16 times per year at a minimum, for monthly staff and quarterly meetings. Must be on call for plasma shipments or misc. center needs including freezer malfunction issues. Exposed to human source products. Exposed to chemicals such as isopropyl and ethyl alcohol, carbon dioxide, dry ice, bleach, germicide solution. Stressors: Flexibility needed to deal with multiple priorities. Frequent telephone and

donors interruptions. Must tactfully deal with agitated donors.
