Alumni & Benefactor Engagement Coordinator

Saint Mary’s University of Minnesota is seeking an Alumni & Benefactor Engagement Coordinator to provide support for daily operations of a multifaceted advancement office. This position is an integral member of the Advancement Team providing essential administrative support to efforts that enhance alumni and benefactor engagement and meet fundraising goals.

This position is an integral member of the Advancement Team providing essential administrative support to efforts that enhance alumni and benefactor engagement and meet fundraising goals.
- Provide administrative support for day-to-day operations of the Alumni and Benefactor Engagement Team and the Office of Advancement including but not limited to: greeting alumni and benefactor visitors, answering phones, filing, answer inquiries and requests, process incoming and outgoing mail, preparing correspondence/meeting minutes/reports, assisting with document management, maintaining inventory of office and correspondence supplies, processing invoices and RFPs.
- Provide support functions for alumni board and parents council meetings, alumni and benefactor engagement events and programs (ex. logistical planning, decorating, registration processes, meeting coordination and follow-up, etc.).
- Assist with and support the logistics of mass mailings and other alumni engagement and fundraising communications and activities.
- In partnership with the Advancement Services team, create and manage online event registration forms through the Advancement Office website.
- Assist in the management of the annual Reunion Weekend event which occurs each June on the Winona campus. Provide the support on many of the logistical components for the weekend events and programming.
- Serve as the point of contact for alumni class notes and coordinate appropriate follow-up for celebratory life events, professional accomplishments, death notices or notices of sympathy.
- Manage the Merle Wilberding Alumni Room, which includes the visual and physical displays, artwork and the stewardship of visitors to the university space.
- Hire and supervise student assistants, providing assignments and guidance as needed.
- Maintain confidentiality of information and records.
- Provides support to other advancement department staff as needed.

- Advanced ability to prioritize tasks, schedules, and objectives.
- Proficient computer skills and demonstrated competence in Microsoft Office software including Word, and Excel as well as Google Suite.
- Ability to quickly learn new technologies, programs, and applications.
- Excellent written and verbal communication skills.
- A track record of taking personal responsibility for ensuring high-quality work and associated outcomes.
- A self-reflective disposition with a focus on continuous growth and improvement for self and others.
- Career history of commitment to the highest professional and ethical standards including confidentiality.
- Proven ability to interact with varied constituencies in a collegial and professional manner.
- Attendance and punctuality are essential functions of the position. Regular attendance is an essential job function to ensure teamwork and face-to-face interaction with faculty, staff, students, and alumni, and friends of the University.

Qualifications:
- Any combination equivalent of an associate’s degree with two years of relevant administrative support experience.
- Demonstrated experience with customer service support via one-on-one communication and as part of a work team.
- Previous experience in higher education or in an Advancement Office preferred.
