As a Customer Service Support Administrative Assistant you will support the daily administrative requirements of the Field Service Engineers (Philips and hospital employed) to ensure the successful operations for our multivendor contract customers. You will work closely with the service organization and the Dartmouth Hitchcock biomedical maintenance team.

This includes; transcription of data between service management software between Philips and Dartmouth, part administration, and daily service status reporting. You will also maintain reports for the Philips District Service Manager (DSM) detailing account(s) status, verify vendor invoices for accuracy; as well as work with the Philips accounting team to resolve discrepancies. Additionally, you will communicate with hospital’s Biomed Technicians and Field Service Engineers on existing request status, open/close service work orders and any additional special requests. Attend conference calls when requested.

You are responsible for

  • Parts ordering/return material requests

  • Transcription of Service Records between data management software

  • Purchase Service requests

  • Service Case and Work Order creation

  • Scheduling and dispatching scheduled and unscheduled service events

  • Field Service Report (FSR) verification

  • Lifecycle Solutions quotes and orders

  • Vendor billing assistance and auditing

  • Identifying and escalating customer problems

You are a part of

The Philips Field Service Organization that supports multiple hospitals throughout the New England Region.

To succeed in this role, you’ll need a customer-first attitude and the following

  • High School diploma required; Associate degree or higher degree preferred

  • 3+ years’ experience working with technical teams or service departments

  • Working knowledge of Servicemax, Salesforce, and Health Information Management Systems

  • Experience with Microsoft Office Suite (word, excel, power point, outlook)

  • Ability to prioritize workload

  • Ability to multitask

  • Good communication skills (verbal and written)
