The Office of the Registrar is looking for an experienced Administrative Associate to join our dynamic team of 40+ professional staff members and 30+ student employees.

The Administrative Associate will perform varied advanced administrative tasks unique to the scope of work covered by our Office. The ideal candidate will possess excellent organizational written and verbal communication skills, with the ability to multitask in a fast-paced environment. In addition, the Administrative Associate will need to maintain a high degree of confidentiality and possess computer proficiency in Microsoft Word, Excel, and Outlook.

The Office of the Registrar is responsible for the accuracy and integrity of the academic record. Serving all students, faculty, academic units, and student support functions; the Office is charged with the implementation of academic and student policies and their alignment to state and federal regulations and accreditation standards. Duties & Responsibilities

Duties and Responsibilities

  • Responsible for the calendaring needs of the University Registrar and management team
  • Performs a variety of administrative duties including document preparation, scheduling, meeting and event coordination, travel arrangements, website updates, record keeping, supply inventory and data entry
  • Supports process of requisitions, disbursement vouchers, travel authorization, expense forms, and PCard transactions, in compliance with UA policies and procedures
  • Manage the onboarding process of new employees; including but not limited to, scheduling interviews and preparing onboarding documents
  • Maintain the physical office and act as primary contact for staff’s operational needs
  • Serve as a point of contact for the Office and refer students, the public, and university constituents to appropriate departments and university services depending on their needs
  • Serve as liaison between the office staff and University TEAMS, by processing appropriate transactions. Examples include; UITS, Telco, keydesk, bursars, etc
  • Assist with student worker onboarding/hiring, training, and Federal Work Study processes
  • Take meeting notes at department meetings and retreats. Prepares minutes, notices, agendas and correspondence with all supporting documentation
  • Effectively and independently manage and prioritize assignments to meet deadlines
  • Additional duties may be assigned

Knowledge, Skills and Abilities

  • Knowledge of Adobe and Microsoft Office products, specifically Excel, Word, Sharepoint and OneNote
  • Ability to work in a fast paced environment
  • Knowledge of project coordination and event management

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required
  • Up to 1 year of relevant work experience required


Preferred Qualifications
  • 3 or more years of experience in Office Manager or Administrative Assistant position
  • Experience communicating with multiple stakeholders both internal and external
