The purpose of Dignity Health Management Services Organization (Dignity Health MSO) is to build a system-wide integrated physician-centric, full-service management service organization structure. Responsibilities

Position Summary:

The Administrative Assistant III is responsible for performing a wide variety of administrative tasks in support of the mission and vision of the Dignity Health MSO. The Administrative Associate III will be assigned to the Director of Care Coordination with additional administrative responsibilities for the departments supported by the Director or Care Coordination.
Responsibilities may include:

  • Ensure effective communication with the departmental leaders, as well as across departments and entities to ensure information is shared for effective operations. Serve as an effective resource/liaison for managers, clinicians, the public and other employees.
  • Attend assigned committee meetings and organize, prepare and distribute the meeting agendas, transcribe and distribute minutes and attachments.
  • Maintain the daily schedules of the department leaders, including making travel arrangements, scheduling meetings, conferences and performing other activities in administrative support of the team. Manage data specific to health care programs including data exchange and reporting of data.
  • Respond in a timely manner to all correspondence, including telephone calls, e-mail messages and written correspondence and forwards to appropriate Executive, as appropriate.
  • Process staff expense and mileage reimbursement as appropriate.
  • Coordinate meetings and events that may include both, either, internal and external customers.
  • Maintain records and ensures compliance with documented policies and procedures in collaboration with Regulatory Compliance Manager.
  • Demonstrate ability to problem-solve in routine and non-routine situations.
  • Demonstrate tact, courtesy and a positive attitude consistently in communication and interaction with other employees, visitors, physicians, directors and the public.
  • Type 60 words per minute or more, strong computer skills in Microsoft Office suite of applications (Outlook, Word, Excel, and PowerPoint) and Google Suite.
  • All other duties as assigned.

Qualifications

Minimum Qualifications:

  • 2-5 years secretarial and administrative support of senior level executives.
  • Data manipulation and analysis experience.
  • High School diploma required
  • Detail-oriented and analytical skills required.
  • Must possess excellent verbal/written communication and interpersonal skills, and possess superior organizational skills.
  • Position requires a high degree of professionalism and competent judgment in supporting the activities of the Officers of Dignity Health MSO.
  • Must possess a high degree of propriety in dealing with confidential situations, documents and information on a daily basis.

Preferred Qualifications:

  • College degree preferred

A compensation range of $35,000 to $55,000 is the reasonable estimate that CommonSpirit in good faith believes it might pay for this particular job based on the circumstances at the time of posting. CommonSpirit may ultimately pay more or less than the posted range as permitted by law.
