Position Summary
The Administrative Assistant will provide administrative support to Student Health on Haven Insurance and Administration. Responsibilities include coordinating meeting schedules for the department’s directors, manage the directors’ calendars, assist with accounts payable and account receivables process, answering phones and greeting students/patients. The Administrative Assistant will also be required to cross cover with other administrative staff, including the enrollment coordinator and the receptionists in the clinic front desk area. Performs other duties as required
Responsibilities
- Manage directors calendar and organize and schedule meetings as requested by the department directors.
- Record meeting notes during all staff meeting, Governing Body meeting, and Quality Management meeting.
- Reserve events room when necessary
- Respond to and resolve insurance and billing related inquires via phone, email and in person visits.
- Ordering, distributing and maintaining office supplies
- Processing vouchers and following up on status
- Processing credit card reconciliations
- Collect, reconcile and process clinic daily receipts and deposits.
- Create and follow up on facility and telecommunication requests
- Manage the clinical schedule for Medical Services
- Responsible for processing medical record requests
- Provide Front Desk coverage as necessary.
- Other duties as assigned
Minimum Qualifications
- A Bachelor’s degree or equivalent in education, training and experience, plus two years of related experience.
- Must have ability to work 8 a.m. – 4 p.m. & 10 a.m. – 6 p.m. Mon-Fri.
Preferred Qualifications
- Knowledge of MS Window Office Professional.
- Excellent customer service skills.
- Ability to work and negotiate with diverse constituencies.
- Ability to set priorities and exercise sound judgment.
- Ability to work effectively and efficiently with a small team of dedicated employees, resolving systematic problems in a pro-active way.
- Excellent organizational and written/oral communication skills.
