Job Description
Scope: The Administrative Assistant will provide office management support for assigned departments or staff. Major responsibilities will include making travel arrangements, coordinating management calendar(s) and facilitating the onboarding of new staff. This person may interface with all levels of the organization, as well as some external customers and organizations. The Administrative Assistant will use sound judgment, manage priorities and operate with an appropriate degree of autonomy within the procedures established in the department.
Responsibilities & Tasks:
- Manage schedules and calendars for others as assigned
- Coordinate both off and on-site events
- Create, process and follow up on visit requests and contact reports
- Make both domestic and international travel arrangements per travel policies
- Coordinate with international counterparts regarding travel and meetings
- Prepare expense reports for others as assigned
- Provide support/back-up assistance to cover other Executive and Administrative Assistants when they are out of the office
- Must be able to generate email, letters, memos, or other communications for managers, VP, Directors, Managers, and staff employees
- Responsible for organizing presentations, reports and meetings as assigned
- File, maintain and retrieve corporate documents, records, artifacts and reports as required
- Process corporate invoices for Accounts Payable as assigned
- Order office supplies for department
- Point of contact for employees to address inquires, questions, and requests
- Arrange and support video teleconference meetings including the set-up of presentations, printing of materials, and supporting any technical issues
- Prepare non-MRP requisitions and change requisitions for program and non-program requirements
- Provide assistance/back-up in other departments when needed
- Facilitate the onboarding of new employees with needed facilities, equipment, access to tools/systems and guidance
- Coordinate/drive dispositions and clearing out of vacated cubes with appropriate manager
- Provide day to day administration, organization, coordination and planning support as required
- Assist with the budget preparation and monthly monitoring
- Will use good judgment in completing activities and operate under general supervision
- Will use MS Office suite applications; to include Power Point presentations Excel and Word
- May be asked to use judgment and discretion in completing regular assignments
- Other related duties as assigned by Manager or Director
Authorities:
- To apply the proper MER administrative procedures for the department
- To use personal judgment and discretion in completing the assignments
- In making appropriate travel arrangements
- Labor and absence approval as delegated

- Senior & Executive MER Managers
- Corporate and HQ staff, as requested
- Customer staff, when appropriate

Qualifications
Education
- High School Required
- Bachelor Preferred
Experience
- Functional (Using Skill Set); 1-3 years
- Industry; Entry Level
Knowledge, Skills, Abilities Required (Unique and Measurable):
- Must handle sensitive and confidential information and matters with discretion
- Strong written and verbal communication skills are needed
- Proficiency in MS Office applications including Power Point presentations, Excel and Word
- College Degree preferred.
- Good organizational skills
- The ability to perform other duties as assigned.
