Title: Administrative Assistant in Lexington, MA
Job Description:
- Provide courteous and professional services to all First Command Prospects and Clients
- Maintain electronic files and records in the First Command client database
- Prepare necessary paperwork prior to client appointments
- Schedule client appointments and confirm them prior to the appointment date
- Provide pre-appointment paperwork to prospects/clients
- Accurately complete and forward the necessary paperwork for investment and insurance applications
- Maintain and distribute client suspense’s
- Maintain commission, sales, production, and conservation records for the two Advisors
- Become proficient in all necessary computer applications to include the First Command client database
- Screen Advisor phone calls and handle each call appropriately
- Process incoming correspondence, mail, and email
- Assist in problem resolution and act as the Advisor liaison with the various First Command business partners as well as the Home Office
- Keep Advisors and other team members informed on pending business status, production and progress
- Assist with District activities when requested
- Prepare client birthday, anniversary, holiday, and other cards as needed for the Advisor
- Potential opportunity to work remotely at times after probationary period is over. (up to 2 days per week)- negotiable
Minimum Requirements:
- 2 years general office experience preferred, but not required
- Excellent organizational, written, and verbal communication skills (focus on clear, concise, and easy to understand in one simple reading)
- Proficient in basic computer skills and programs to include, but not limited to Microsoft Office
Suite (Excel and others), Adobe, Printing, Scanning, Email
- Ability to handle multiple tasks and thrive in a fast-paced environment
- High School Diploma or equivalent life experiences
- Satisfactory completion of background check, fingerprinting, and required employment documentation
- Satisfactory completion of screening/hiring tool if required by District Advisor
- Perform other duties as requested by the Advisor
The position will work for: Daniel (Dan) Ferris, and Christopher (Chris) Moore, First Command Financial Advisors, splitting the time evenly.
Base Salary: This is an hourly position and the expectation is that the Administrative Assistant will work a minimum of 30 hours per week, and the hourly wage will be $15 per hour (negotiable based on experience, checks will be bi-weekly by direct deposit for between 60-80 hours (depending on hours worked) and subject to deductions for taxes and other withholdings as required by law. We offer two weeks of paid vacation a year (calculated at 30 hours/week).
Probation: This position will have a thirty (30) day training period with the dates being determined by start date. There will be a training review at the end of the 30-day period. The Assistant will participate in the First Command Administrative Assistant Training Course conducted by the First Command Home
Office through a virtual classroom during the training period. There will be a sixty (60) day probation period at the end of the training period concluding in a performance review. It will be determined through the performance review if this position will continue to permanent placement.
Salary Increases/Performance Reviews: Salary will be determined based on preceding year performance and additional duties added to the position. Performance reviews will occur quarterly with a final annual review conducted every December on or about the 15th of the month.
