The MYgroup Administrative Assistant works closely with the clinical team of licensed mental health professionals providing services to our EAP clients. Our EAP is a company-sponsored benefit that offers free, confidential assessments, short-term counseling, referrals, and follow-up services to employees and family members who have personal and/or work-related problems. We also offer a student assistance program (SAP) to colleges and universities and a member assistance program (MAP) to associations. Our corporate staff and affiliate network help clients address a broad and complex body of issues. Areas of focus are mental and emotional well-being, as well as work-related performance and organizational challenges.

The MYgroup Administrative Assistant manages the day-to-day front office operations, including responding to requests for mental health services in a caring and HIPAA-compliant manner. The MYgroup Administrative Assistant handles frequent interruptions and pivots rapidly between multiple tasks. The MYgroup Administrative Assistant works well under pressure, maintains professional courtesy, de-escalates tension, and follows policy while using creativity to solve problems in the moment.

Responsibilities

  • Deliver excellent customer service in person, over the phone, and/or via email
  • Provide front desk coverage on multi-line telephone console: transferring calls, taking messages, scheduling clients
  • Maintain the clinical appointment schedule
  • Comply with HIPAA procedures
  • Assist with data entry upon request
  • Help process utilization reports for client organizations
  • Support clinical operations (e.g., file organization, manage supplies)
  • Help with mailing marketing materials to client organizations
  • Assist with provider operations and reimbursement processes
  • Support the daily operations of MYgroup

Qualifications

Requirements

  • Demonstrates experience in customer service activities, such as, but not limited to, answering phones, transferring calls, taking messages, and phone-based customer service
  • Possesses office management skills, such as, but not limited to, organizing client data, filing client information, providing excellent communication, and developing efficient and effective processes (e.g., data entry and interpretation, client file management)
  • Has working knowledge of Microsoft Office and ability to learn EAP software

Preferences

  • Bachelor’s degree preferred
  • Knowledgeable about or highly familiar with HIPAA and mental health services
  • Relevant experience in a mental health practice or medical office setting
  • Comfortable working with a team
  • Able to multi-task and stay organized under stressful situations
  • Possess high emotional intelligence to sense the needs of clients and clinicians
  • Demonstrate flexibility as processes change to accommodate the needs of clients and staff
