Position Summary This position supports a diverse group of learners in the credit-bearing courses and programs sponsored by Graduate & Extended Learning. The position supports students taking college courses offered within area high schools, adults returning to complete a bachelor’s degree, and working professionals earning a Master’s degree or certificate. The individual in this role will also work with the UWL faculty who administer and teach in these programs. Finally, this role will provide critical assistance with our unit’s financial transactions, including invoices, purchase orders, contracts, and monthly procurement card statements. This will connect the individual in this role with other aspects of our unit’s work, including conference and events services and youth programming. Our office is very collaborative and most of our work involves coordinating with multiple partners; individuals in this position must also exercise a significant degree of independence for decision-making, and work with minimal supervision. Attention to detail and problem-solving ability are both highly valued in our unit.

Required Qualifications
  • Minimum of high school diploma.
  • Administrative support experience.
  • Demonstrated experience in the use of software including Microsoft Office Suite, email, and electronic calendars.
  • Demonstrated bookkeeping experience, especially pertaining to budget, travel, and procurement records.
  • Demonstrated ability to communicate clearly, respectfully, and effectively in face-to- face, oral, written, and electronic forms.
  • Excellent organizational, time management, and multi-tasking skills with an attention to detail despite frequent interruptions.
  • Demonstrated ability to work independently and collaboratively, and set priorities to meet the demands of the position.
  • Demonstrated ability to use discretion and good judgment regarding confidential information.


Preferred Qualifications
  • 5+ years administrative support experience.
  • Experience in higher education, particularly in the UW system.
  • Associate degree or professional certification.
  • Office management experience.
  • Proficiency with software and web-based applications, Office 365 and UW System utilized software.
  • Knowledge of budget and appropriation structure, inventory/record keeping.
  • Knowledge of and experience with procedures regarding purchasing, purchasing contracts, and purchasing cards.
  • Ability to plan, assign, and supervise the work of others (student supervision).
  • Willingness to maintain and enhance professional competencies by participating in professional development workshops, seminars, and training sessions, related to current position responsibilities.
  • Ability to meet and work effectively with people across multiple levels of the organization.
  • Ability to drive and fly to course and other event venues off campus.

Working conditions and environment The normal work schedule for this position is Monday through Friday from 7:45 – 4:30 pm. This position requires occasional flexibility with work hours in order to accommodate program and event schedules when necessary, including potential evening and weekend work. Some in and out of town travel required, including overnights.
