Administrative Assistant III, Administrative Services

This position may report to the Academic, Administrative or Student areas with responsibilities that include a broad range of duties associated with the proper operation and smooth functioning of the department/division/school. This is a Professional Exempt Contractual (PEC) position for which an annual contract reflecting the base salary within the fiscal year (July 1st to June 30th) will be issued after ratification by Miami Dade College’s District Board of Trustees.
Duties & Responsibilities - Functions as a generalist within assigned areas of responsibility
- Interprets and evaluates policies and procedures relative to academic and department functions
- Tracks budget expenses to ensure adherence to department/grant budgets and makes recommendations concerning the management of accounts
- Manages assigned campus services; such as, duplicating services, which may include equipment and supply purchases, repair requests, and production reports
- Produces management reports related to budget and facilities for the Campus/Department
- Coordinates and prepares special/financial reports and prepares financial/statistical projections and analysis
- Monitors College’s on-line systems applications as assigned
- Acts a liaison between the Department Heads and other College-wide departments and faculty members
- Oversees special projects and presentations assigned
- Handles all internal and external inquiries and concerns regarding College policies and procedures
- Resolves faculty and student issues and assists as needed in assigned areas
- Reviews relevant rules and regulations of state and federal agencies
- Prepares comprehensive reports and conducts special research projects
- Represents the Department Head(s) on College committees and task forces as directed
- Performs other duties as assigned
Minimum Requirements - Bachelor’s in related field and six (6) years administrative, teaching or other appropriate experience; or Master’s degree and two (2) years of administrative, teaching, or other appropriate experience
- All educational degrees must be from a regionally accredited institution
- Knowledge and understanding of College organization, goals and objectives, and policies and procedures
- Possess excellent organizational and communication skills (both oral and written)
- Ability to read, analyze, and interpret common scientific and technical journals, financial reports and legal documents
- Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community
- Ability to write speeches and articles for publication that conform to prescribed style and format
- Ability to effectively present information to top management, public groups and/or boards of directors
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to work in a multi-ethnic and multi-cultural environment with students, faculty, and staff
Essential Position - This function/position has been designated as “essential.” This means that when the College is faced with an institutional emergency, employees in such positions may be required to remain at their work location or to report to work to protect, recover and continue operations at the College.
