JOB DESCRIPTION:
Provides administrative support to building assistant principals. Performs secretarial duties including typing letters, memorandums and reports from written copy. Maintains filing systems and answers phones. Maintains calendar and assists in the smooth and effective operation of the office. Develops and promotes good community relations among various community and school clientele.
DUTIES AND RESPONSIBILITIES:
1. Drafts and/or types letters, evaluations, memorandums, reports, labels, forms, special projects, presentations and related materials that may be of a highly confidential nature. Proofs material for errors. May also record and distribute minutes of meetings.
2. Sets up and maintains files, databases and records which may contain confidential information. May include one or more of the following: personnel records, student records, tests, surveys, legal documents, personnel files, evaluations, professional growth, insurance, supplemental pay, personnel actions, club budgets, mentor program, workshops. Helps organize and execute logistics for required testing (CSAP/ACT/AP) and mails all appropriate correspondence as needed.
3. Answers telephone, routes calls, takes messages, provides routine assistance and information to the caller. Logs phone calls, as appropriate. Routes and distributes incoming mail, correspondence, and other material to school staff.
4. Maintains calendar and makes appointments for Assistant Principal. Schedules and coordinates meetings and facilities, which may include travel and lodging arrangements.
5. Processes, monitors, and maintains records of the following: purchase orders, field trip requests, timesheets, office equipment maintenance, work orders.
6. Maintains district and state forms(e.g. re-certification applications, professional growth).
7. Performs other related duties as assigned or requested.
EXPERIENCE:
2 to 3 years in related field
Prefer experience in educational environment
JOB QUALIFICATIONS:
1. High school diploma or equivalent
2. Excellent verbal and written communications skills
3. Proficient in Microsoft Office Suite, specifically Word, Excel and Publisher
4. Typing proficiency of 50 WPM
5. Partnership building/team work skills
6. Organizational skills
7. Ability to handle multiple tasks in high volume area
