Serve as the first point of contact for students, staff, and faculty in answering questions and providing customer service. Coordinate a variety of administrative responsibilities in the Alford Community Leadership & Involvement Center (CLIC) related to four major areas: campus organizations, leadership education programs, fraternity/sorority life, campus traditions and events.
ESSENTIAL JOB FUNCTIONS
Campus Traditions and Events
Support the overall execution of CLIC campus-wide events and traditions through the support of coordinating and organizing logistics and event plans. Assist with special events logistics, such as contracts and purchasing, coordinating travel and lodging, and execution of day-of events.
Campus Organizations_
Support programming needs and requests of 160+ student organizations. Assist with the management of campus organization spaces and storage lockers, including key and/or swipe access for student leaders. Assist campus organizations in the logistics and purchasing of event supplies.
Serve as an administrator for WhatToDU, Denison’s online campus involvement and events platform. Coordinate CLIC marketing efforts, including the weekly WhatToDU campus-wide email. Support student staff who oversee marketing and social media. Edit and maintain website content.
In conjunction with the CLIC Director, oversee the CLIC budgets. Process requisitions, purchase orders, work orders, and invoices. Ensure all check requests are done in adequate time. Prepare the annual budget and ensure a balanced budget and fiscal responsibility of CLIC funds.
Banner management of accounts, processes, student information, and campus organization rosters. Support campus organization management, event request approval, and space reservation requests through the WhatToDU platform.
Serve as the primary supervisor and mentor for 10+ CLICkers, or CLIC student employees. Oversee the assignment and scheduling of student employees. Ensure that student timesheets are submitted and approved on time. Provide timely feedback to student employees. Coordinator annual hiring efforts for student employees.
Administrative Needs_
Manage calendars of the CLIC Director and Associate Directors, as applicable. Serve as the first point of contact for students, staff, and faculty in answering questions and providing customer service. Ensure the CLIC office space and CLIC managed spaces are cleaned and maintained appropriately. Improve and maintain CLIC organization to ensure smooth operations and efficiency.
2-4 years of proven experience as an administrative assistant. Experience should include supporting administrators in a dynamic professional setting.
Excellent verbal and written communication skills with experience conveying information to internal and external constituents clearly, focused, and concisely.
Demonstrated experience maintaining a calm and professional demeanor when handling demanding situations.
Experience handling confidential information and correspondence.
An eagerness to learn and overcome challenges; resourceful problem solver.
Proven experience coordinating multiple projects/assignments simultaneously and completing assigned tasks accurately and on a timely basis. Must demonstrate strong attention to detail with excellent organizational skills.
Demonstrated technical proficiency within various systems/platforms, including Banner Finance, G-Suite, and MS Office software.
Ability to lift 25-50 pounds (boxes of copy paper, event supplies, etc.).
