Administrative Assistant - Firm Operations Details

HORNE LLP, one of the largest accounting and professional services firm in the Southeast, is seeking an administrative assistant to serve the firm’s People, Growth and Engagement Team. The team member will provide support to all areas of our PG&E team – learning, coaching, recruiting, engagement and event management.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to the following:

  • Format documents, presentations and reports in Word, PowerPoint and Excel to meet Firm standards
  • Process invoices on a weekly to monthly basis
  • Process client engagement letters and billing
  • Reconcile and code firm purchase card(s) expenses
  • Assist team in event coordination
  • HORNE Event Center coordination – maintain calendar, vendor management, inventory
  • Handle all processing and shipping of PG&E materials as needed
  • Performing other duties as assigned

Minimum Qualifications: (Knowledge, Skills, Abilities):

  • High School Diploma or equivalent required; Associate’s or bachelor’s degree preferred
  • Minimum of 2-3 years' experience in a professional office environment
  • Advanced computer and office equipment skills including but not limited to scanners, copiers, printers, binders, projectors, and video conferencing equipment
  • Advanced in Zoom platform
  • Advanced Microsoft Office skills are required
  • High degree of accuracy and advanced proofing skills
  • Professional presence
  • Professional phone etiquette
  • Excellent oral and written communication skills
  • Ability to communicate clearly via all current mediums – phone, text, email, video conference, etc.
  • Must pay close attention to detail
  • Excellent follow-up and follow-through skills
  • Able to perform multiple tasks simultaneously
  • Excellent organizational skills
  • Ability to sit at a desk for extended periods
  • Ability to troubleshoot and solve problems
  • Flexibility to work overtime if needed – before or after normal business hours
