Department: Educational Support Services Department
Location: Lower School Campus
FLSA Class: Non-exempt, Part-Time
Hours: 20 hours a week including benefits (options 4 or 5 half days or 3 days a week)
Job Purpose: Under general supervision, the employee will provide administrative support to the Director of ESS and the employees in that department. Work involves frequent contact with faculty, parents, and outside service providers requiring sensitivity, good judgment and strong interpersonal skills. Employee must exercise considerable initiative to resolve day-to-day problems and to anticipate and respond to administrative needs.
Essential duties and Responsibilities:
- Provide direct administrative support to the ESS Director including typing and editing memos, forms, reports and spreadsheets.
- Schedule EMT (Educational Management Team) meetings, reserving meeting space, securing time commitment of participants, distributing meeting minutes to appropriate personnel and files.
- Update ESS folders in the shared drive on a regular basis: EMT notes, education plans, accommodation plans and testing recommendations.
- Create and maintain confidential student files.
- Prepare MCPS referral packets and mail to appropriate MCPS personnel.
- Oversee flexible seating project including ordering and distribution of items to classrooms.
- Order student tools and resources for learning specialists and guidance counselors.
- Process payment requests for department using school data base system.
- Maintain and update outside referral list for psycho educational testing, speech/language testing and therapy, occupational therapy, psychological counseling, etc.
- Maintain and update tutor referral list and database of tutors currently servicing students on both campuses.
- Schedule meetings throughout year as part of the school’s supervision and evaluation process.
- Organize and order resources and materials for Jewish Disabilities Awareness and Inclusion Month classroom lessons.
- Receives and copies and disseminates reports and recommendations to appropriate faculty—Lower School, counselors, and teachers
- Organize logistics for ESS workshops and presentations (schedule speakers and rooms, prepare handouts, arrange for equipment and food service).
- Other duties as requested, directed or assigned.
Job Knowledge, Skills, and Abilities:
- Must be proficient in Google Docs, Word, PowerPoint, Outlook, Excel and have ability to quickly learn school database systems including PowerSchool.
- Excellent verbal and written communication skilled required.
- Strong capability to work efficiently in fast paced environment
- Outstanding organizational skills
- Ability to exercise professional judgement and to maintain confidential information.
- College degree preferred.
