Dairyfood USA, Inc., a market leader in specialty cheese production for over 60 years, is currently seeking an AP & Payroll Specialist to provide high level support of the accounst payable function and administration of a bi-weekly payroll. This position will also have general office administration responsibilities, including receptionist duties. Based in our production facility in the heart of America’s Dairyland, Blue Mounds, WI, this position reports to VP of Finance.
Duties and Responsibilities:
- Answer and direct non-directed calls to the company’smain phone line in a professional manner. Take and disseminate messages as required. Maintain internal phone directory.
- Greet all company visitors and promote their comfortin the waiting area. Notify employeeswho are receiving guests, as required.
- Maintain security over front entrance, checking in and out visitors
- Timecard and payroll processing
- Process and distribute both incoming and outgoingmail.
- Maintain accurate files that pertain to customers,receivables and payables, including daily and annual filing.
- Provide general office support to other departments.
- Maintain office equipment and supplies
- Special projects assigned by the Plant Controller
- For inventory related purchases, match vendor’sinvoices with the corresponding evidence of receipt and purchase order. Key allvoucher information into the system
- For non-inventory purchases, match vendor invoice topurchase order requisition and evidence of receipt, if applicable. If the transaction does not involve apurchase order or purchase order requisition obtain approval from responsiblemanager. Key all voucher informationinto the system.
- Maintain, reconcile and secure petty cash fund. Present reimbursements for approval.
- Make payment selections according to aging reports inthe accounts payable system. After allreports have been run and proper approvals obtained, match correspondingpaperwork and print checks for signature.
- Type manual checks as required, and key informationinto the accounts payable system.
BasicQualifications:
- A high school diploma or the equivalent.
- A minimum of 3 years of accounts payable, payroll processing and office administration experience.
PreferredQualifications:
- An Associate’s degree in Accounting, Business Administration or a related field.
- A minimum of 5 years of accounts payable, payroll processing and office administration experience, preferably in a manufacturing environment
