The Admissions Data Operations Lead is responsible for the design and implementation of all facets within admissions operations. This includes knowledge of Notre Dame de Namur University’s (NDNU) Jenzabar EX system, maintaining admissions data integrity, reporting and optimizing automation for reporting purposes in collaboration with NDNU’s programming experts, and expertise with Salesforce to lead an operational data transition. The role interplays with NDNU’s marketing department for reporting purposes and inquiry input.

Specific Responsibilities/Duties:
- Responsible for the oversight and data input to achieve data integrity of admissions inquiries through all admissions stages in Jenzabar EX, eliminating duplicate records and keeping accurate counts in all admission stages
- Oversees and manages exports and edits of admissions inquiries from Pardot into Jenzabar EX for accurate reporting
- Responsible for the accurate pushing and/or pulling of admissions records to the Registrar’s Office and is the primary contact for error correction in this process
- Oversight of the admissions database with responsibility for the accuracy of the internal weekly admissions funnel report and the data corresponding to the Institutional Research Department for accurate institutional reporting wherever necessary, and trouble-shooting any Jenzabar EX and or Salesforce system errors
- Responsible for the applicable communications to applicants
- Oversees the uploads of advising files to Dropbox for advisors
- Oversees and organizes applicant information in the NDNU G Drive for admissions counselor(s)
- Responsible for the accuracy of and runs various reports for various departments, e.g., deposit report for the Business Office, registration report for the Office of the Registrar, and the international report for the International Office
- Responsible for the accurate maintenance and updates of the admissions department’s procedure/manual
- Provides training on NDNU’s G Drive, Formsite, Jenzabar/EX, and Pardot
- Other duties as assigned
Qualifications:
- Bachelor’s degree required
- Bilingual Spanish Preferred
- Expertise in the use of Microsoft Office, strong computer skills including the ability to use and understand complex computer software programs, and transmit and receive data electronically
- Adaptability to change and knowledgeable with integrated systems and/or upgraded software packages
- Expertise in systems and processes, and an ability to think analytically about improvements and implementation
- A leader utilizing databases and running reports from databases
- Working knowledge of the admissions funnel preferred
- Experienced lead with attention to detail, the ability to work independently and as a team player, managing confidential matters with discretion
- Proven track record of accomplishing tasks and meeting deadlines
- Focus, participation, and commitment to the goals of the department
- Excellent interpersonal, oral and written communication skills
- Demonstrated success working with individuals and groups representing a wide range of diverse cultural, geographic and socioeconomic backgrounds
