Job Description
Overview: This position has several administrative responsibilities for our manufacturing facility. We need a well rounded person with exposure in these different areas.
  • Review and transmit payroll to the corporate office for processing
  • Enter purchase orders into the system
  • Reviewing invoices
  • Support corporate accounts payable
  • Participate in the department month-end close process
This position also supports the Plant Manager and Plant Controller with completing tasks.

  • Process hourly payroll weekly for transmission to Corporate
  • Review Kronos time system for accurate information
  • Assure proper approvals of time sheet per internal controls
  • Prepare and review payroll reports for management
  • Perform purchase order entry in JDE system
  • Enter purchase orders and distribute printed POs to vendors.
  • Maintain daily spend report
  • Produce and review reports for accuracy of data entered
  • Review vendor accounts and invoices
  • Properly and timely review invoice issues and resolve
  • Review vendor accounts for issues
  • Support vendor questions for timely payment by Corporate
  • Serve as primary backup to receiving and production scheduling
  • Handle Procurement Card Charges as needed and timely reconcile purchases to online statement
  • Perform administrative functions to include answering telephone; processing mail; coordinating plant employee meeting, visits from customers, visitors, and corporate employees
  • Maintain office supply inventory, place orders as needed
  • Participate in training and development programs
  • Perform other responsibilities and duties that are assigned by Plant Manager and Plant Controller
Qualifications:
  • Associates degree; accounting knowledge and JD Edwards experience a plus
  • Experience in payroll, accounts payable, office administration, and coordinating office/plant activities
  • Working knowledge of Microsoft Suite (Excel, Word, PowerPoint) and Google (Sheets, Docs and Slides) products
  • Highly motivated individual with good written and verbal communication skills, attention to detail, initiative and willingness to take on new projects
  • Inductive Reasoning — Ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).
  • Problem Sensitivity — Ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Able to see, hear and speak; able to sit, stand for at least two hours at a time, sit, bend, craw, squat, kneel and climb able to use both arms and hands to use a computer and peripherals and lift 40 pounds from floor level, able to work below ground level in confined spaces and on stationary or mobile elevated platforms, able to wear respirator and other PPE as required, able to climb stairs. Able to work extended shifts and weekends as needed.
WORK ENVIRONMENT
Able to work inside or outside the plant environment and in all climate conditions. Exposed to lead, fumes, chemicals, operating equipment, and vehicles.
