The Administrative Specialist is part of the College of Arts & Science Dean’s Office at Vanderbilt University and is a key individual responsible for the daily operations of A&S. Reporting directly to the Administrative Manager, the Administrative Specialist serves faculty, students, and parents who interact with the A&S Office of the Dean and A&S Office of Finance and Administration.

Duties and Responsibilities
- Serve as the main greeter and receptionist for guests in the Dean’s Office and Office of Finance and Administration
- Serve as the point person for Faculty Governance, including faculty meetings, faculty council, and faculty elections
- Work closely with Administrative Manager on faculty appointments through RedCap
- Serve as backup for Dean calendaring and special projects
- Manage regalia orders and commencement information for faculty
- Serve as event planner for Dean’s Office
- Serve as main Procurement requestor and One Card holder for A&S Dean’s Office
- Hire and manage Dean’s Office student workers
- Additional duties as assigned
Supervisory Relationships
This position has supervisory responsibility for student workers. This position reports directly to the Administrative Manager.
Qualifications
- A High School diploma or GED is necessary.
- An Associate's Degree or Bachelor's Degree from an accredited institution of higher education is preferred.
- Strong organizational & analytical skills is necessary.
- Resourceful and detail-oriented is necessary.
- Excellent interpersonal written & oral communications skills is necessary.
- Ability to plan, develop, and coordinate multiple projects is preferred.
- Ability to work both as a member of a team & independently is necessary.
- Microsoft Office proficiency (including Word and Excel) is strongly preferred.
- Adobe Professional is preferred.
