Role Description:

Interact daily with internal and external customers, whether telephonic or one-on-one, in a timely and effective manner, ensuring that all pertinent staff members are apprised of information and queries are handled expeditiously. Organize meetings and briefings and coordinate activities to promote mission engagement and further leadership discussion, as directed, including arranging and scheduling conference rooms, and teleconference information for senior level and Division Chief meetings. Manage senior leader calendars, coordinate meetings for senior leaders, and ensure all meeting preparation materials, including agenda, attendees, and read-aheads are available to senior leaders, as directed. Request Escort Badges for all guests and customers without proper access and meet and escort guests and customers to and from meetings, as necessary. Compile supply requests for branches, enter requests into a supply system, track orders, and confirm delivery with customers. Receive and track incoming and outgoing correspondence daily, monitor and track taskers for the office, and coordinate staffing actions across the staff to ensure suspenses are met. Initiate actions to provide end-user support, perform complex administrative duties, and contribute and conduct technical editing for reports and briefings.

Basic Qualifications:

  • 10 years of experience with office administration
  • Experience with Microsoft Office and Outlook
  • TS/SCI clearance with a polygraph
  • HS diploma or GED

Additional Qualifications:

  • Experience with coordinating meetings, including teleconferences
  • Experience in working with senior-level military staff
  • Ability to pay strict attention to detail
  • Possession of excellent organizational skills
  • Possession of excellent verbal and written communication skills
