TYPING TESTS ARE VALID FOR SIX MONTHS.

Primary Function:
Under supervision of the Office Manager, the incumbent greets visitors in person and by telephone and answers inquiries professionally and courteously and refers individuals to proper source(s) or individual(s). Completes a variety of administrative duties.
Essential Functions:Greet and assist all visitors promptly, professionally and courteously. Utilize strong interpersonal skills to establish rapport with visitors, departmental staff, personnel from other departments, and the general public.
Answer incoming calls, screen and direct calls, take accurate and complete messages; respond to questions and inquiries as able or refer to the appropriate staff, source or department. Provide assistance to visitors, the general public, staff and County employees.
Set up for County Board and other committee meetings, including preparation of audio and technological equipment, agenda preparation and dissemination, food/drink as needed, etc. Take minutes and track attendance at various Commissioner meetings.
Develop and maintain a working knowledge of Douglas County, its departments and government.
Receive, sort and distribute mail, and route interdepartmental mail to appropriate personnel.
Scan and file documentation. Maintain Commissioner-related media and print.
Perform administrative and clerical duties that assist in the operation of the department.
Assist workers’ compensation staff as necessary.
Coordinate special projects (e.g. United Way, YMCA, etc.) as assigned.
Monitor inventory of office supplies and order supplies as needed.
Provide overall administrative assistance to department staff. Perform the duties of other administrative staff in their absence.
Education and Work Experience and Other Requirements:High school graduation or the equivalent.
At least three years* administrative support work experience.
Ability to type 40 net words per minute.
Knowledge and experience with computers and office equipment required. Experience with Microsoft Office products including Outlook, Word, Excel, etc. strongly preferred.
  • Approved related formal education beyond high school may be substituted for work experience requirement on a year-for-year basis.

An incumbent must have the ability to frequently lift and/or carry files and other materials weighing up to 10 pounds and occasionally lift and/or carry equipment, supplies and other materials weighing up to 25 pounds.
