Job Description

The Administrative Officer III provides comprehensive executive, administrative operations, analytic, and academic support to the Center for Maternal-Fetal Precision Medicine (CMFPC), and requires functioning with a high level of independence and autonomy. The individual will contribute substantially to the Center objectives by performing the administrative, operations and coordinating functions that enable the research activities of the Center.

Department Description

The UCSF Center for Maternal-Fetal Precision Medicine is a multidisciplinary collective of researchers, clinicians, other scholars, and trainees focused on improving fetal diagnosis and developing fetal therapies for genetic abnormalities that begin in utero. The group engages in basic, clinical, and translational research, clinical trials, and other scholarly activities in pursuit of this mission.

Required Qualifications

  • Bachelor's degree in public health, business administration, or related area and/or equivalent experience/training
  • 3 or more years of work experience in academic research, public health or related work experience
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
  • Technology orientation. Excellent desktop and web-based computer skills. Proficiency with Microsoft Word, Excel, Outlook and PowerPoint. Ability to identify and adopt new software tools to meet emerging needs
  • Strong writing and editing skills
  • Given broadly defined assignments, independently develop project plans/schedules, prioritize activities, and select methods and techniques to deliver high-quality products and services
  • Ability to learn about clinical research compliance issues, Institutional Review Board (IRB) requirements, and IRB submission/modification procedures
  • Anticipate and identify problems and develop and implement the appropriate response and/or action
  • Highly organized with strong skills in short-term planning, analysis, problem-solving, and project management
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills
  • Demonstrated ability to work well with others to generate ideas, solve problems, and achieve common goals
  • Ability to use discretion and maintain confidentiality

Preferred Qualifications

  • Thorough knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff and academic employees
  • Experience pre-award grant application procedures
  • Familiar with basic HTML and content management systems
  • Experience working in an academic medical center, research administration, or in a clinical research setting
  • Knowledge of clinical research including clinical trials, protocols, Food & Drug Administration (FDA) regulations, regulatory and compliance responsibilities, or clinical research coordinator experience
  • Ability to create social media posts to communicate research findings, events, accomplishments, and policy positions
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management
  • Familiarity with campus and university on-line systems, campus expenditure rules and regulations (Bear Buy, MyExpense or related supply chain management systems)
