Job Description
Function/Duties of Position: The position coordinates the clinical and operational assignments of the Digestive Health Center (DHC). This multi-disciplinary clinic includes the Divisions of Bariatric, GI & General Surgery, GI Medicine and nutrition. This position supports the administrative coordination of this multi-disciplinary clinic which is comprised of 85+ faculty and staff. Responsibilities include:

- Meeting and events coordination: Create agendas, PowerPoint presentations, and keep calendar of events to avoid conflicts with key stakeholders
- Reporting and project management: Responsible for pulling required metrics and statistics for presentations for the DHC Medical Director, including data collection and preparation of reports outlining the impacts or changes in procedures on DHC programs and funding, compilation of statistical information related to programs and/or operations measuring success rate and/or performance to be used by others to make decisions related to the program
- IT Support: Provide additional support within the department for deployment of hardware and other IT requests as needed. Develop technical policies or procedures, systems and forms necessary to complete work.
- Communication and tech coordination: Provides daily IT user support for all computer issues impacting the clinic and staff (85+ employees). Provides employee support for Outlook, Epic, and other OHSU software. Responsible for monthly newsletter that introduces new employees, new programs and other community activities.
- HR coordination: Primary coordinator for staff recruitment and onboarding needs
- Administrative support: Writes professional letters for the Medical Director, editing and proofing correspondence and other documents for the management team
- OHSU employee at time of application
- Four years of general office experience; OR an Associate’s degree or certificate in office occupations or office technology and two years of general office experience; OR a Bachelor’s degree and two years of general office or secretarial experience; or an equivalent combination of training and experience
- Demonstrated advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
- Experience writing/editing professional documents
- Experience with calendaring and travel arrangements/reimbursements
- Demonstrated ability to accurately type 65 wpm
- Strong organizational skills and ability to work effectively with management and employees in a manner that promotes teamwork and a positive work environment
- Exceptional customer service skills both on the phone and in person
- Ability to multi-task and prioritize multiple deadlines
- Demonstrable record of reliable attendance, punctuality and proven successful performance at past and present employer
