Job Description
Under the general supervision of the department's General Manager, the Administrative Coordinator provides support to the Department of World Arts and Cultures Dance (WACD) in the areas of Administrative, Instructional and Financial support; Special Events and Building Coordination. WACD is located in Glorya Kaufman Hall, a 30,000 square foot two-story facility on north campus which houses 15 faculty, 18 lecturers, 50 graduate students, 215 undergraduate students and 13 staff, a video library and recording studio, the Glorya Kaufman Dance Theater, the Amber Dance Studio, the Kaufman Family Garden Theater, the Crystal Dance Studio, and the Phoenix Conference Room.
Primary responsibilities include:
Instructional support to undergraduate and graduate classroom performance coordination and instructional assistance to faculty, instructors and guests speakers.
Class Schedule upload.
Process accounts payable transactions, purchases travel arrangements and parking coordination. Coordinate special events logistics for guest lecturers and performances, including visas, travel and hotel arrangements, parking, honorarium, reimbursements and supervision of volunteers.
Provide support General Manager to review and update department guidelines and procedures.
Report potential facilities problems, place service requests, maintain reception, lounge and kitchen areas organized.

Ability to coordinate large and small events in a variety of performance settings.
Required
Demonstrated skill in using an IBM PC or compatible in a Windows environment. This includes Microsoft Word, Excel, AIS, Access, Web Browser and Outlook e-mail and calendars.

Ability to establish and maintain cooperative working relationships with people at all levels of the University.
Required
Skill in interacting with people of various social, cultural and economic backgrounds.
Required
Excellent administrative and time management skills to independently organize workflow, multi-task and complete assignments in order of priority, under conditions of a fluctuating workload with frequent interruptions and distractions, and consistently meet deadlines.

Ability to remain professional and effective despite frequent interruptions.

Skill in setting priorities and directing the efforts of staff that accurately reflect relative importance of job responsibilities.

Experience with social media, such as Facebook, Twitter, Instagram, etc.
Preferred
Ability to anticipate, identify and troubleshoot a variety of problems and recognize alternative solutions.
Required
Working knowledge of campus parking policies and procedures.
Can be trained
Ability to recruit, hire, train, and supervise part-time student employees responsible for front office clerical duties and basic financial transactions.
Required
Ability to frequently lift and/or carry 25lbs. Ability to periodically lift 50lbs with assistance.
