SERIES PURPOSE:
The purpose of the Administrative Clerk / Receptionist 1 position is to provide customer service, clerical support and process minor accounting functions. Duties include but are not limited to interaction with individuals in person and over the phone, record keeping, data entry, filing, material/supply orders, inventory counts and accounting functions.
CLASS CONCEPT:
This position works under general supervision and requires friendly and professional interaction with the public and others, proficiency and accuracy in all tasks, basic understanding of accounting systems
(Accounts Payable, Accounts Receivable, and Payroll), familiarity with office machinery (i.e., computer, scanner, multi-line phone system, calculator, fax machine, and copier), the ability to communicate well in both written or oral fashion, and be proficient with Microsoft Word, Excel and
Email programs.
ESSENTIAL FUNCTIONS OF THE POSITION:

Clerical:
- Greet people (in person and over the phone) and provide general departmental information, requested information, direct them to the appropriate representative or department, take messages, and prepare appropriate forms for follow-up (R&I)
- Compile, copy, sort and file records and documents
- Data entry into various spreadsheets and software programs
- Operate office machinery
- Type letters and memos as requested
- Understand and read maps effectively
- Scan and index various documents
- Open, sort and route incoming mail
- Order supplies and forms; maintain appropriate inventory of items
- Assist in preparation for events or meetings
Legal Descriptions
- Log documents in and out
- Review submissions to ensure all required items are provided for proper review
- Communicate review status with customers

Permits
- Provide appropriate permits to customers; this will include working with them to determine all the permits they may need
- Log permits in and forward to appropriate staff member
Accounting tasks
- Accounts Payable o Review invoices for completeness, accuracy and appropriate expenditure account o Prepare vouchers to be paid
- Payroll o Review time sheets for completeness and accuracy o Enter into software program
- Accounts Receivable o Enter invoice information into accounting program o Receipt in payments o Balance payments with cash on hand o Prepare pay-ins
Other duties as assigned by the Administrative Assistant or County Engineer.
MAJOR WORKER CHARACTERISTICS:
Possess understanding and ability to operate multi-line phone system, computer, scanner, calculator, fax machine, and copier; perform basic business math and simple bookkeeping procedures; office practices and procedures; and inventory controls. Ability to deal with a variety of variables in somewhat unfamiliar context; gather, collate and classify information about data, people or things; answer routine inquiries; and work alone or in a group. Must be punctual and maintain excellent attendance.
MINIMUM CLASS QUALIFICATIONS FOR EMPLOYMENT:
High School Diploma or equivalent, two years work experience performing simple to moderately complex clerical and secretarial duties and simple bookkeeping procedures. Be able to communicate effectively with others both verbally and in writing, organize and maintain recordkeeping systems, develop and maintain effective working relationships with supervisor, co-workers and the general public, and be able to move between tasks frequently. Candidate must have and maintain a valid State of
Ohio driver’s license.
UNUSUAL WORKING CONDITIONS:
Essential functions are regularly performed without exposure to adverse environmental conditions.
Due to the necessity of this position to interact with the public and other staff members this position does not qualify for remote work.

Available immediately upon full time employment
5.) DEFERRED COMPENSATION PLAN -
This is available immediately to those selecting to participate
6.) 10 PAID HOLIDAYS PER YEAR
7.) SICK LEAVE - Accumulated at a rate of 4.6 hours per pay period for a total of 15 days a year.
