Job Description

An estate planning firm with an emphasis in elder law is looking to immediately hire a full-time administrative assistant to support our two offices. The ideal candidate is someone who enjoys working with seniors, learning, and working in a fast-paced environment.

REQUIREMENTS:

  • EDUCATION
  • 4-year undergraduate degree or high school diploma and 4 years of experience as an administrative assistant; and
  • CUSTOMER SERVICE
  • At least 1 year of customer service experience
  • COMMUNICATION SKILLS
  • Excellent verbal and written communication skills
  • Professional phone etiquette
  • Relays messages accurately with all relevant information
  • CRITICAL THINKING/ANALYTICAL SKILLS
  • Ability to anticipate the needs of attorneys and clients
  • Quickly learns, retains and applies new information
  • PROFESSIONALISM
  • Uses discretion and maintains client confidentiality
  • Greets clients in a friendly and professional manner
  • Dependable and able to meet deadlines
  • Ability to build and maintain trust
  • COMPUTER SKILLS

CORE RESPONSIBILITIES:

  • PHONES
  • Receives all incoming calls, taking thorough messages, providing general information regarding our services, and giving referrals where appropriate
  • Listens to the voicemail and returns calls
  • SCHEDULING AND CALENDAR MANAGEMENT
  • Scheduling all in person, phone, Zoom, speaking engagements, and networking appointments for three attorneys
  • Providing appointment confirmations via email and phone calls reminders
  • CORRESPONDENCE
  • Drafting cover letters for clients and government agencies
  • Creating labels, sending correspondence and other mail
  • GENERAL ADMINISTRATIVE TASKS
  • Generating invoices, maintaining conference room, copying, scanning, filing, and faxing documents
  • Documenting actions taken on client matters in client management system

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
