General Description of the Job
Provides administrative support for the efficient and effective management of the Office of Facilities Management. Will provide fiscal tracking of multiple department requisitions, expenditures and budgets.
Essential Functions
The following are the functions essential to performing this job.
- Composes routine correspondence.
- Prepares information and/or reports for budget development.
- Inputs data and actively uses the University Accounting System (Banner).
- Arranges meetings with internal and external committees.
- Works with the Finance Office and other administrative staff to post and reconcile transactions for the Facilities Department.
- Assists in preparation of yearly facilities budget.
- Maintains all assigned budgets for the Division.
- Processes budget transfers, invoices and requisitions for the Division.
- Prepares invoices and maintains files for all outside vendors operating under contract for multiple departments under the direction of Executive Director of Facilities.
- Other duties as assigned.
Required Knowledge, Skills, and Abilities

- Demonstrate ability to communicate effectively, using oral and written communication skills.
- Demonstrate experience in the use of computers, spreadsheets, and computer applications (such as Excel, Word, and Banner).
- Demonstrated knowledge of accounting and recordkeeping principles.
- Strong computer skills (preferably in Excel, Access, Word, Accounting Software, and Outlook).
- Ability to meet internal and external deadlines.
- Strong organizational skills with attention to detail.
- Ability to maintain confidential material and records.
Qualification Standards
- Associate Degree in Accounting or four years of an acceptable combination of formal training and experience.
- Spreadsheet and word processing proficiency, preferably in Microsoft Excel and Word.
- Three years of experience in data processing.
- Knowledge of and/or experience working with Banner software; working in a university or college business area; and conducting financial reconciliation preferred.
- At least three years of experience in accounting procedures, preferably in a college or university setting.
