Position Summary
The Youth Center Administrative Assistant (TEMP) will assist the Director of Youth Programs, and Preschool Program Director at the front desk with administrative duties to ensure parents, children, and visitors are greeted and assisted as they enter the facility.
Essential Functions
Specific Duties:
1. Accounts Payable and Receivable
a. Assist with billing process of all clients
b. Assist with processing all payments and maintaining ledger inputs and changes
2. Registrar
a. Responsible for processing new families
b. Maintain files to ensure all necessary documents are present and current for each child.
c. Coordinate gym rentals with community groups.
3. Assist Directors with, but not limited to:
a. Inventory and Program Supply ordering/ Assist in classroom as needed.
b. Maintain Director’s Calendar/ participation in all events / produce monthly newsletters
c. Produce and maintain confidential sign-in/out sheets for all youth programs.
d. Maintain hot lunch program counts and monthly calendar.
e. Provide reception assistance, including answering phone calls and greeting guests.
Requirements:
-Working Conditions
Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead. Ability to operate computer, fax and telephone. Ability to lift up to 40 lbs.
Minimum Qualifications
- Must be a high school graduate.
- 2-3 years of administrative aide experience
- Valid California driver’s license
- Possess maturity and the ability to maintain confidentially.
- Attention to detail, quality and professionalism
- ECE units preferred.
- Must be fingerprinted, complete/sign a Criminal Record Statement (LIC 508)
Skills, Knowledge & Abilities
- A criminal background check is required with certification for Protect the Mission policies and procedures.
- Must have ability to work with, direct, and relate well with co-workers, community members, and guests/clients.
- Ability to prioritize work and multi-task simultaneous projects.
- Type 70 wpm
- Must possess good relationship skills.
- Abide by Salvation Army Policies and Procedures and have an acceptance of Salvation Army philosophy and mission.
