Job Description

Full-time, 8:30am – 5:00pm Monday – Friday

Position Summary: The Administrative Assistant performs a wide range of administrative and clerical duties supporting Entira’s Leadership and various departments.

Responsibilities:

  • Schedules organizational meetings, appointments and speakers
  • Produce and distribute corporate meeting packets
  • Answer administration phone calls and routes as needed
  • Greet and provide general support to visitors
  • Maintain conference rooms and assist with scheduling rooms as needed
  • Maintain office supplies by checking inventory and ordering items
  • Responsible for coordination of office maintenance and equipment repairs
  • Provide administrative support to all departments including filing, mailing, scanning, faxing and copying
  • Update administrative and organizational documents and forms as requested
  • Prints and ships organizational form orders
  • Updates and orders from print vendor
  • Monthly OSI/SAM Verifications
  • Attend and record minutes for the Site Medical Director meeting
  • Prepare and provide administrative assistance with complaint packets
  • Scheduling and managing on-site auditors
  • Scheduling annual calendar for quality meetings
  • Print and send monthly registries, provider scorecards and trending reports
  • Run weekly visit reports and graph data
  • Update Clinical Practice manual
  • Prepare surveys using Survey Monkey
  • End of day clean-up of kitchen/break area
  • Other duties as assigned

Qualifications:

  • High School diploma or GED
  • 2 years previous Administrative Assistant experience preferred
  • Proficient with Microsoft Outlook, Word, Excel, and PowerPoint
  • Experience collecting, documenting, and distributing meeting agendas/minutes preferred
  • Excellent communication and customer service skills
  • Ability to multitask and self-prioritize requests coming from multiple people
  • Attention to detail
  • Handle challenges, changes and job pressures competently and positively
  • Ability to maintain confidentiality in oral, written and electronic based information
  • Previous healthcare experience a plus

Job Type: Full-time

Pay: $17.00 - $26.00 per hour
