Job Description
Full-time, 8:30am – 5:00pm Monday – Friday
Position Summary: The Administrative Assistant performs a wide range of administrative and clerical duties supporting Entira’s Leadership and various departments.
Responsibilities:
- Schedules organizational meetings, appointments and speakers
- Produce and distribute corporate meeting packets
- Answer administration phone calls and routes as needed
- Greet and provide general support to visitors
- Maintain conference rooms and assist with scheduling rooms as needed
- Maintain office supplies by checking inventory and ordering items
- Responsible for coordination of office maintenance and equipment repairs
- Provide administrative support to all departments including filing, mailing, scanning, faxing and copying
- Update administrative and organizational documents and forms as requested
- Prints and ships organizational form orders
- Updates and orders from print vendor
- Monthly OSI/SAM Verifications
- Attend and record minutes for the Site Medical Director meeting
- Prepare and provide administrative assistance with complaint packets
- Scheduling and managing on-site auditors
- Scheduling annual calendar for quality meetings
- Print and send monthly registries, provider scorecards and trending reports
- Run weekly visit reports and graph data
- Update Clinical Practice manual
- Prepare surveys using Survey Monkey
- End of day clean-up of kitchen/break area
- Other duties as assigned
Qualifications:
- High School diploma or GED
- 2 years previous Administrative Assistant experience preferred
- Proficient with Microsoft Outlook, Word, Excel, and PowerPoint
- Experience collecting, documenting, and distributing meeting agendas/minutes preferred
- Excellent communication and customer service skills
- Ability to multitask and self-prioritize requests coming from multiple people
- Attention to detail
- Handle challenges, changes and job pressures competently and positively
- Ability to maintain confidentiality in oral, written and electronic based information
- Previous healthcare experience a plus
