PURPOSE Under general supervision performs a variety of administrative and clerical duties in support of one or more departments. ESSENTIAL DUTIES AND RESPONSIBILITIES • Arranges meetings and conferences; schedules appointments; arranges schedules and makes travel reservations. • Prepares routine correspondence, memoranda, reports, forms, tables, catalogues, pamphlets, etc. from rough drafts, hand written notes or general verbal instructions. Makes changes to ensure completeness and accuracy. • Answers telephone and gives information to callers or routes call to appropriate person, places outgoing calls when requested. • Organizes workload to comply with deadlines and priorities; works independently to complete routine department or group functions. • Prepares and maintains paper and electronic filing systems to support the needs of the department or location. • Receives and distributes incoming mail; assembles correspondence for mailing; receives and transmits materials using appropriate electronic methods. • Collects and formats data and produces periodic reports to support the needs of the department or location. MINIMUM REQUIREMENTS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. • High school diploma or General Educational Degree (GED) and three (3) years of administrative experience; or equivalent combination of education and experience. COMPETENCIES • Knowledge of modern office practices and procedures • Ability to transcribe correspondence from handwritten notes or electronic media • Ability to compose effective and efficient reports and correspondence • Good verbal and written communication skills • Proficiency in Microsoft Office Suite
