This is a hybrid role supporting the day to day needs of the NYC office and providing general administrative support to their assigned Executives and teams which may include calendar management, travel arrangements, planning and scheduling meetings, expenses, and presentations, as needed. The ideal candidate is a proactive, detail-oriented, professional with a keen ability to juggle multiple tasks and switch priorities as needed. About the Job
- Provide on-site support such as conference room reservation, catering and room set-up for client and executive meetings, lunches, and new business presentations
- Work with building services team for visitor registration and meet-and-greet, desk bookings, and badge registrations
- Manage and redistribute incoming mail and packages
- Track and monitor client storage requests and inventory as needed
- Provide support on PowerPoint presentations for agency and marketplace meetings
- Support executive(s) with calendar management, travel logistics, processing expenses, time entry, and ad-hoc projects as needed
- Collaborate with other members of the admin and facilities team to provide seamless support
- Handle regular activities without prompting, and advise in advance with issues or delays
- 1-2 years admin experience, BA degree a plus; a plus if supported more than one senior level executive
- Experience with Microsoft Office, Excel, PowerPoint, MS Teams a must, experience with PeopleSoft a plus
- Strong professionalism and written/oral communication skills when working with executives and their clients
- Tact and good judgment in confidential situations, and proven experience interacting with senior management
- Ability to handle multiple tasks simultaneously, set priorities and meet deadlines
- High level of organizational, detail, planning and coordination skills
- Takes initiative and demonstrates flexibility when priorities shift
