Job Description
TITLE: Administrative Assistant JOB TYPE: Full-Time AVAILABLE FROM: Aug 22, 2022 Position Overview: This position requires extreme sensitivity and appropriate handling of confidential information. Perform administrative duties as outlined below.
Duties & Responsibilities
:
  • Assist the Executive Assistant to the President in the following and ad hoc duties.
  • Receive and announce visitors.
  • Answer telephones - screen calls, take messages, respond to queries as appropriate.
  • Process mail - open, date, sort and flag materials for immediate attention.
  • Proofread documents.
  • Draft and type brief memos and letters as requested.
  • Scan documents for archives and maintain related charts.
  • Review and distribute "Appointment to the Faculty" forms.
  • Review and file faculty contracts.
  • Verify faculty degrees and input them into Colleague database.
  • Maintain the faculty files and general records of the Office of the President
  • Maintain and order supplies, stationery, SVA publications for office.
  • Errands and deliveries as needed.
  • Operate and oversee proper functioning of photocopier, computer, and other office equipment and repairs
  • Organize P-Card receipts; prepare online statements
  • Complete weekly timesheet

Qualifications:

  • Bachelor's degree required
  • At least 2 years of administrative support experience required, preferably in higher education and/or in an executive office
  • Professional demeanor
  • High level of sensitivity and handling of confidential information
  • Poised, pleasant telephone manner
  • Ability to handle multiple tasks
  • Strong communication (oral & written) and organizational skills
  • Advanced computer proficiency: MacOS, Word and Excel experience
