Duties & Responsibilities:
- Assist the Executive Assistant to the President in the following and ad hoc duties.
- Receive and announce visitors.
- Answer telephones - screen calls, take messages, respond to queries as appropriate.
- Process mail - open, date, sort and flag materials for immediate attention.
- Proofread documents.
- Draft and type brief memos and letters as requested.
- Scan documents for archives and maintain related charts.
- Review and distribute "Appointment to the Faculty" forms.
- Review and file faculty contracts.
- Verify faculty degrees and input them into Colleague database.
- Maintain the faculty files and general records of the Office of the President
- Maintain and order supplies, stationery, SVA publications for office.
- Errands and deliveries as needed.
- Operate and oversee proper functioning of photocopier, computer, and other office equipment and repairs
- Organize P-Card receipts; prepare online statements
- Complete weekly timesheet
Qualifications:
Bachelor's degree required- At least 2 years of administrative support experience required, preferably in higher education and/or in an executive office
- Professional demeanor
- High level of sensitivity and handling of confidential information
- Poised, pleasant telephone manner
- Ability to handle multiple tasks
- Strong communication (oral & written) and organizational skills
- Advanced computer proficiency: MacOS, Word and Excel experience
