Job Description

ADMINISTRATIVE ASSISTANT Human Resources

Location: Support Services, 12855 E. Adam Aircraft Circle, Englewood, CO 80112 (under the current conditions, this position is a remote work position and will be provided with the necessary equipment to perform the essential duties remotely).

Reports to: Director of People Services

Supervises: 0

Position: Full-time; Non-exempt.

Pay Rate: $18.80 - $23.50

Purpose: Performs advanced administrative tasks to support the director and department activities.

Essential Duties and Responsibilities:

40% ADMINISTRATIVE SUPPORT Provides administrative assistance by handling meeting coordination, creating agendas, scheduling meeting areas, monitoring e-mail and correspondence, researching information, assisting with budget tasks, creating routine and non-routine communication, handles information requests, and reconciling expense reports to maximize the effectiveness of the Director.

40% DEPARTMENTAL SUPPORT - Assists with planning and execution of Human Resources activities and events. Coordinates meetings and agendas, conducts assigned research, assists with file management, prepares reports and presentations, reconciles P-cards statements, prepares requisitions, coordinates service award program, orders and maintains office supplies and equipment, and performs other tasks as assigned to maximize the effectiveness of the department.

10% MEETING ROOMS - Coordinates meeting rooms by scheduling meeting room space and equipment as requested for trainings and/or human resource workshops, confirming requests and sending out reminders. Coordinates new hire training and ongoing new hire orientations.

10% TRAINING SUPPORT Updates content in the learning management system as needed, orients new staff to the building, sets up meeting rooms, orders supplies and refreshments for training sessions, and prepares learning materials to support the training function.

Performs other related duties as assigned and requested.

Other Duties and Responsibilities:

  • May participate in special projects or coordinate activities.
  • May provide back-up coverage for other departments.

Minimum Qualifications:

  • Bachelor's degree.
  • Two to five years of administrative experience in a human resources function.
  • Intermediate technology skill in Microsoft Office including Word, Excel, and PowerPoint.
  • Ability to organize work, handle multiple tasks and meet deadlines.
  • Ability to maintain confidentiality and use tact and discretion in the conveyance of confidential information.
  • Able to work independently, problem solve, and troubleshoot.
  • Strong attention to detail and organizational skills.
  • Demonstrate enthusiasm for an environment of constant change.
  • Ability to provide outstanding service to internal and external customers.
  • Strong verbal and written communication skills.
  • Cooperative attitude with team-oriented disposition

Preferred Qualifications:

  • Project management experience.
  • Experience working with Microsoft Office 365.

Work Environment:

The essential duties for this position are performed in an indoor office environment.

Moderate noise (computers, phones, printers, and people interactions).

Physical Activities:

Physical activities required to perform essential duties include:

  • Must be able to remain in a stationary position 75-100% of the time.
  • Must be able to move around 75-100% of the time.
  • Ability to lift to 40lbs.
  • Ability to carry up to 25lbs.
  • Ability to push and pull a cart weighing up to 25lbs.
