About your Role:

Provides administrative support to the school administration team to ensure the efficient functioning of critical processes such as attendance, transitions, billing, and human resources.

INVOICES
  • Prepare and maintains billing information for submission to corporate
  • Process all invoices and send them to corporate office
  • Keep electronic and hardcopy file of all invoices
  • Pay all facility bills for building / program
  • Keep track of all vendors
CUSTOMER SERVICE
  • Answer telephones in an efficient, pleasant, and courteous manner.
  • Establish and maintain good rapport and communication with students, staff, and parents
  • Works closes with counselors, teaching associates, mental health, outside agencies, and administration to assist students with special needs
  • Assumes responsibilities assigned by Administration in order to facilitate a safe, orderly, positive working environment
STUDENT/PROGRAM SERVICES
  • Prepare purchase order request forms and check requests
  • Maintaining and ordering supplies for the school.
  • Record Student Attendance
  • Create district review transition packets (Include cover sheet, individual attendance, report card/interim, discipline record, counseling interim)
  • Alert Now - Absentee Calls
  • Filing -report cards, transition packets, interims, etc.
  • Fax attendance to districts
  • Schedule student Intake
  • Conduct student Intake
  • Late Student Sign-In Sheet
  • Daily Attendance Sheets
  • Add new students to Redikker, Alert Now Spreadsheet, Attendance Roster, DOE
  • Create new student master file following master file checklist and attach name label.
  • Input Attendance into Redikker
  • Sept 30th count attendance to districts (only during month of Sept)
STAFF SERVICES
  • Distribute PTO request forms, obtain approvals from leader, make copies for staff person and for office file
  • Track PTO electronically and hard copy
  • Process all staff reimbursements
  • Maintain Staff/Vendor Sign-In and Out Sheets
  • Liaison for all services in the main office
PAYROLL
  • Complete timesheets for every staff member in particular program/region
  • Contact staff to get timesheet approved and signed
  • Get leaders’ signed approval of all timesheets and payroll spreadsheets
  • Complete payroll spreadsheet to accompany the timesheets
  • Submit entire payroll packet to Yoko Mims the day following the end of the pay period (16th or 2nd)
LEADERSHIP SUPPORT
  • Responsible for preparing monthly and weekly reports when directed.
  • Type memos, letters, reports, draft forms, and correspondence as assigned by school Administration
  • Actively participates in a minimum of one school wide committee
GENERAL ADMINISTRATIVE TASKS
  • Answer phones / check voicemail and relay messages to staff
  • Work with IT to resolve minor computer issues
  • Maintain Administration Calendar
  • Participates in all required meetings
  • Check emails for program and relay messages to necessary staff
  • Filing - misc. items (doctor's notes, court documents, staff documents, etc.)
  • Stock copier and fax machine
  • Order supplies
  • Deposit new funds into stamp machine
  • Bulk Mail Outs
  • Track Visitor and Vendor sign-in sheets
HUMAN RESOURCE SUPPORT
  • Prepare, distribute and process staff timesheets, and other personnel matters
  • Assist in preparing for staff and inter-agency meetings and training sessions.
  • Records and tracks staff attendance; advise department managers all tardiness
  • Track completion of assigned e-learning/RELIAS coursework and communicate deficiencies to Director of Administration
  • Criminal Background checks & reimbursements
  • Up to date TB testing
  • Pay Card set up / Direct Deposit Set up
Does the Following Apply to You?
  • This position requires travel of approximately 25% of the time.
  • Strong desire and willingness to work with At-Risk Youth
  • High School Diploma or Equivalent
  • 2 Years Clerical Experience
  • Some College Preferred but not required
  • Documentation of a clear criminal record
  • Meets all mandated health requirements (e.g., negative tuberculosis test)
  • Complies with drug-free workplace rules and board policies
  • Bilingual (Spanish/English) a plus
