Job Description:
SUMMARY:
The Administrative and Operations Coordinator, under minimal supervision, provides liaison support for and between the Administrative/Financial team and the Operations team regarding cage and animal census and in-room administrative matters. This position will proactively and effectively align administrative and related billing tasks with animal census tracking throughout the CARE facilities. This position is responsible for maintaining excellent recordkeeping regarding animal census, taking census using an automated barcode system and/or taking manual counts of animal populations on a regular basis. This includes replenishing census supplies as needed by researchers and staff in housing rooms. This position will train and work with researchers regarding the use of the barcode cage card system in Topaz. This position must be familiar with administrative policies and procedures regarding animal research at Brown and provide excellent customer service regarding census matters to Principal Investigator (PIs), research staff, students, and co-workers within CARE.
This position is responsible for all accounts payable transactions including purchasing cards.
This position provides on-going analytical and financial assistance to supervisor regarding census, facility capacity matters and cost and rate setting analysis. This position provides general and administrative department support, support to Director as needed, along with other managers regarding ad hoc operational analysis. This position is cross-trained with some tasks associated with other positions, in particular the Administrative and Financial Coordinators, to ensure that, with supervision, billing and other deadlines are met, and the department’s overall administrative assistance to researchers is exceptional.
QUALIFICATIONS:
Required: Bachelor’s Degree, or Associates degree plus 1-2 years relevant accounting experience.
Preferred: Bachelor’s Degree and 1-2 years relevant experience working in research facility.
Or, equivalent combination of education and experience.
Proficient computer skills including Microsoft Office (Word, Power Point, and Excel), Google Technology (mail, calendaring, spread sheets, shared documents), Adobe Acrobat and Qualtrics.
Experience using billing software and computer-based systems for managing animal census.
Commitment to learn new technologies and other online platforms to increase department efficiency.
Strong attention to detail, especially record keeping and organization.
Strong communication skills, both verbal and written.
Must maintain calm, respectful and professional manner at all times.
Commitment to customer service, interpersonal, and time management.
Must be an effective communicator including ability to give constructive feedback to others.
Possess a willingness and ability to support a diverse and inclusive campus community.
This position has frequent contact with many individuals regarding varying matters; flexibility is required in this fast-paced work environment with frequently shifting priorities
