Job Description

JOB SUMMARY:
As a vital member of the Workforce Development team, the Records Management and Administrative Assistant is responsible for the accurate recording of data, the maintenance of physical and electronic records, and the generation of reports and other business documents. Dedication to the quality review of electronic records is a primary responsibility. This individual supports the program by supplying timely information, assistance in scheduling, and demonstrates a commitment to delivering high-quality service that fulfills the needs of our clients.

Hours: primarily Monday - Friday, 8:30 am - 5:00 pm, occasional evenings & weekends possible, full-time position
.

DUTIES and RESPONSIBILITIES:

  • Records Management - Maintain updated and accurate electronic customer records, manage requests for information & review for accuracy
  • Customer Service - Serve as first point of contact, answer inquiries about services and other disability related issues, refer individuals to appropriate agency/program, develop relationships with community employers & conduct satisfaction surveys
  • Office Management/Administration - Troubleshoot IT issues, create business communications, perform reception duties, maintain database of all employers that have hired clients & conduct staff meetings/training.
  • Billing and Accounts Receivable - Generate invoices, create revenue reports, submit accurate billing and invoices & maintain financial spreadsheets
  • Quality Assurance - Maintain accurate system to track program statistics, identify trends and areas for improvements, develop tracking tools to measure program performance, assist in managing Continuous Improvement Process & ensure compliance of program to all contracts/CARF regulations and training to ESW policies/procedures.
  • Pierce Transit - provide travel training to customers, perform assessments & write reports

SKILLS, EDUCATION & OTHER REQUIREMENTS:

  • AA in Office Administration, Human Resources, Accounting, Business Management or related field
  • Extensive skills in Microsoft Office applications, Internet, and IT
  • Experience in disability services (preferred)
  • Must have private transportation for use on the job, valid WA Driver's License, insurance coverage and a good driving record
