As the Accounts Receivable Supervisor or Lead, depending on your qualifications, you will partner with the Manager of Customer Service, Credit and Compliance to lead the Accounts Receivable team. You will oversee the processing of incoming payments, investigate and reconcile complex deductions and be responsible for facilitating meetings, reporting and all credits and disputes as they relate to customer deductions. You will need to be proficient in Excel, have strong organization skills and enjoy complicated research. Working closely with our customers and Nordic Ware's Sales, Customer Service and Compliance teams, you will have in-depth knowledge of our customer terms, requirements and programs.

Your Responsibilities in this Role:

  • Supervise/Lead Accounts Receivable team including the Cash Application Specialist and Credit and Collections Specialists.
  • Oversee daily posting and processing of incoming customer payments including bank deposits, wires and credit cards in US and Canadian dollars and other foreign currency, including obtaining, formatting and uploading payment files from customer databases to Nordic Ware's ERP system.
  • Review weekly balancing of posted payments to ensure accuracy.
  • Process internal debit memos with clear explanations and distribute to compliance team for additional review and discussion.
  • Create credit memos for customer adjustments, promotional allowances, write offs and debit memos, following credit authorization levels as defined by policy.
  • Facilitate weekly compliance meeting to discuss and resolve chargebacks, new requirements, EDI and all compliance related information.
  • Maintain understanding of customer's web portals and timeline requirements for payments, disputes, document request and research.
  • Review customer portals for updates, payments, chargebacks and disputes.
  • Review and research all customer audit deductions in a timely manner. Work with sales to determine legitimacy, proper sign offs for credit or to dispute to the audit team.
  • Research and resolve customer discrepancies; filing claims to challenge deductions that are not legitimate; investigate and resolve complex customer accounts receivable balances.
  • Assist in the development and implementation of procedures and system enhancements pertinent to the effective and efficient operation of the A/R Department


What You'll Bring to the Role:

  • High School diploma or GED with some post high school education preferred
  • Three (3) or more years of accounts receivable supervisory experience preferred
  • Strong organizational skills and an attention to detail
  • Accurate data entry skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects simultaneously and prioritize appropriately
  • Proficient with Microsoft Office suite of products, including Excel
  • Ability to project a professional, calm and positive image to customers both via telephone and email
  • Ability to obtain in-depth knowledge of our customer terms and programs
  • Strong math aptitude
  • Ability to travel occasionally
