Bilingual Spanish Office Accounting Services Assistant
Schedule: Monday - Friday 8:00 AM - 5:00 PM
Pay: $17 /hour for the first 90 day probation period, $18/hour with strong experience.
Potential increase after 90 days depending on performance.

RESPONSIBILITES INCLUDE BUT NOT LIMITED TO:
- Heavy data entry - invoices, expense reports, Accounts Payable and Accounts
Receivable
- Responsible for the inventory and organization of the office and janitorial supplies
- Responsible for managing the accounting team mailbox, making sure to tag, print, archive, and distribute emails
- Maintain receivables CRM, making sure that is it current with daily A/R uploads and noting email responses
- Create copies, scanning, emailing invoices for approval
- Applying prepayments in database, scanning, emailing prepaid invoices
- Maintain vendor files electronically in cloud environment & SharePoint, making sure all W9s, ACH info, and contracts are up to date
- Provide general administrative and clerical support to Finance Director
- Run daily reports in SAP Crystal Reports, split files using Adobe Pro, and email remittances to vendors
- Handle confidential information in a professional and discreet manner
- Emailing monthly statements to customers
- Assisting in month end assignments, reporting, and other tasks or projects
REQUIREMENTS:
- Fluent Bilingual Spanish
- 2+ years of recent experience in data entry, customer service, or accounting
- Proficient in Excel – Formulas, Pivot Tables, Multiple tabs
- Proficient in Outlook – Creating tasks, configuring email settings, setting up email filters, creating templates and/or signatures
- Strong organizational & time management skills. Will be expected to meet daily banking cutoff times, 2hr email response times, and complete data entry within 1 business day.
- Must be detail-oriented, and able to focus on data for many hours while maintaining data entry accuracy
- Must be comfortable asking questions and process improvement minded
- Must be able to work independently and complete assignments without supervision.
- Ability to demonstrate discretion in handling confidential data and dealing with high-level executives
- Ability to effectively and maturely communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients
