Job Description

Job Summary

The Accounting Administrative Assistant will provide clerical assistance to the Accounting department. This position compiles and maintains accounts payable files and records, works closely with internal staff and serves as a point of contact for field operators in a fast-paced environment. The role will also be equipped to contribute to our continuous process improvement efforts.

Essential Job Duties and Responsibilities

  • Provide clerical assistance to the accounting department
  • Act as liaison between the home office, restaurant operators, vendors and clients. Provide assistance and support to all team members, route issues to the appropriate person as necessary Perform data entry into various accounting software.
  • Research, track and resolve discrepancies/issues from vendors and/or internal team members
  • Verify and update customer and vendor contact information
  • Select invoices for payment
  • Perform filing, scanning, copying and other general office duties for the accounting department
  • Assist with gathering and organizing documentation requested in connection with various audits
  • Maintain the current filing system in the accounting office and ensure streamlined team access
  • Function in accordance with established standards, procedures, laws and confidentiality guidelines
  • Assist in the development of forms, procedures and work instructions
  • Process incoming mail and distribute appropriately.
  • Organize and procure office supplies
  • Additional projects as assigned

Leadership Responsibilities and Reporting

The Accounting Administrative Assistant reports to the VP of Accounting and Reporting and provides support to the Accounting team. This position has no direct reports.

Qualifications

  • High School graduate or equivalent required
  • Previous administrative / office experience preferred
  • Computer literacy including experience with Excel, Word, Outlook and Adobe Acrobat Pro
  • Experience with Great Plains or similar accounting software a plus

  • Working knowledge of general office equipment, like printers and fax machines

Additional Physical Requirements

  • Must be able to continuously see, view computer monitors, receive and make fine discrimination in sound
  • Must be able to sit, type, write, perform repetitive simple grasping, fine manipulation, and push/pull/carry objects weighing up to 25 pounds.
  • Must be flexible and willing to work a varied schedule as dictated by the needs of the business
